Job Description

Mission:

  • To provide administrative support services to the office of the assigned Executive in MTN Irancell and thus contribute to the smooth operation of the related division.

Roles & Responsibilities:

  • To liaise with finance teams to ensure payment to third–party suppliers for expenses of the assigned manager/executive’s office, maintaining accurate financial records and avoiding delays.
  • To liaise with the procurement department on all material and supply requests for the division, guaranteeing that required resources are available when needed.
  • To organize and maintain daily diaries, schedule appointments, greet visitors at all seniority levels, screen calls, respond to inquiries, and escalate them when appropriate, ensuring smooth executive scheduling and stakeholder communication.
  • To handle incoming emails, faxes, and mail, type letters, and correspond on behalf of the executive, providing timely and professional communication.
  • To organize and attend required meetings and ensure presentations are well prepared, supporting effective decision–making.
  • To prepare meeting minutes and produce memos for review, creating accurate records of discussions and actions.
  • To devise and maintain office systems, including data management and filing, improving information retrieval and operational efficiency.
  • To collect requested activity reports, presentations, and documents from various units and departments, compile and submit them for the executive’s review, facilitating informed leadership decisions.
  • To coordinate division social events, preparing cost estimates, controlling budgets, and managing activities, delivering successful programs within financial constraints.
  • To track and update stakeholders on related divisional PRs/POs with internal customers and the finance division, ensuring transparency and timely processing.
  • To arrange travel plans and itineraries seamlessly and schedule meetings, optimizing executive time and logistics.
  • To process all requisitions related to the Head of Division’s office, ensuring timely procurement and resource allocation.
  • To liaise with other division executives’ PAs, units, etc., on divisional requests and correspondence, maintaining coordinated inter–departmental communication.
  • To administer the division’s petty cash as assigned and provide related reports, maintaining financial accountability.
  • To actively participate in HR initiatives such as surveys, recognition programs, events, and gatherings, promoting employee engagement.

Education:

  • Bachelor Degree in Social Sciences or a related discipline

Experience:

  • Minimum 2 years of experience in an administrative capacity of a reputable company, with experience in working with others
  • Experience in administrative support for top management of a reputable company, with local and international operations
  • Experience working in a medium to large organization
